Personal Assistant to the CEO

We are seeking a highly organized and proactive Personal Assistant to support our CEO with personal and family-related tasks. The ideal candidate will manage the personal schedule of the CEO, appointments of any kind, travel arrangements, and assist personal event planning, and household coordination. If you have experience in a similar role, possess excellent customer service skills, and can maintain a high level of confidentiality, this role is for you!

Your responsibilities and duties will include:

  • Appointment management: Coordinate and manage personal and family appointments of any kind, including medical visits, social engagements, and family commitments;
  • Travel arrangements: Organize national and international personal travel, including flights, accommodations, transportation, and others related to a personal trip;
  • Event planning: Assist in planning and organizing personal events and family gatherings such as vacations, celebrations, and other private occasions;
  • Gift purchasing: Research, select, and purchase gifts for personal occasions on behalf of the CEO and family, team members, partners, ensuring thoughtful and timely selections;
  • Personal tasks: Handle a variety of personal tasks, such as making reservations, scheduling family appointments, and running day-to-day activities;
  • Household coordination: Help manage household-related tasks such as coordinating with household staff, overseeing maintenance, and handling personal household logistics;
  • Budget assistance: Assist with the preparation, tracking, and management of personal budgets, expenses, and payments, ensuring accuracy and timely follow-through;
  • Research support: Conduct research on personal interests, family needs, or other non-business-related topics as requested by the CEO, providing clear summaries and recommendations;
  • Document management: Organize and maintain personal and family documents, records, and files, ensuring easy access and up-to-date information;
  • Communication management: Screen and manage personal and family correspondence, emails, and phone calls, ensuring timely responses and prioritization;
  • Calendar management: Maintain the CEO’s personal and family calendar, arrange appointments, and ensure that personal commitments and family schedules are managed efficiently.

What you need to join our team:

  • Proven experience in a similar role, ideally supporting individuals with complex schedules and needs;
  • Excellent customer service understanding with a proactive and detail-oriented approach;
  • Ability to manage confidential information with discretion;
  • Excellent time management skills;
  • Flexibility in working hours to accommodate personal and family needs.
